I. A. General Function of the Position:

-Performs detailed clerical work with supply procurement, distribution, and record-keeping involved in property and supply management; and performs other related tasks.

B. Statement of Duties and Responsibilities:

  • Issues and monitors office supplies
  • Receives supplies and materials inventory
  • Manages and safe keep the Supply Room
  • Prepares Purchase Requests for regular office supplies and materials
  • Prepares Monthly Report of Supplies and Materials Issued (MRSMI)
  • Receives and assigns control number for all Purchase Requests and Purchase Orders
  • Maintains file of all PRs/POs submitted for approval
  • Monitors the status of submitted PRs/POs
  • Prepares Status Report of Outstanding Purchases (regular)
  • Assists in routing Abstract of canvass for signature by the BAC
  • Maintains records and files of Section of Section (Procurement and Property Management Unit)
  • Monitors preventive maintenance of vehicles/ buildings/ office equipment
  • Assigns property number of PPE issued
  • Prepares records and maintain copies of Property Acknowledgment Receipts and Inventory Custodian Slip
  • Prepare monthly CSF report (Work Environment and Infrastructure)
  • Performs other related functions
